How to Access the Message Summary Page

Log into Admin Home  
Click on Communications in the Applications box, then click on Message Summary img
 

How to Filter Statistics

In the Search area on the Message Summary Page, you will see 9 options that allow you to filter your statistics by

  • Message Source
  • Message Status
  • Message Group
  • Start Date
  • End Date
  • Minimum Recipients
  • Message Subject
  • Summary Type
  • Recipient Type

By Message Source:

In the Message Source dropdown list, you can filter by different types of messages/emails that are sent. The most common are:

  • Email Create - Emails sent through the Bulk Email System
  • Event Registration - Emails sent through the Event Registration Module, these are typically confirmation emails.
  • Automated Recurring Messages- Emails sent through the ARM module
  • Reservations (Court, Facility, etc.) - Emails sent through the Dining Reservations Module, typically reservation confirmation emails.
  • Reservations Module - Emails sent through the MF Bookings Module, typically booking confirmation emails.
  • Programs - Emails sent through the Programs Module
  • Marketing Forms - Emails sent through the Marketing Request Form Module, typically automatic follow-up emails.
  • Surveys - Emails sent after surveys are completed by members

By Start Date and/or End Date:

You can analyze emails sent by date range. In the Start Date and End Date fields select a date range you would like to analyze by choosing the dates within the calendar that appears.

By Message Status:

Message Status will tell you how each email address ended up after being sent a copy of the blast.

  • Sent - We cannot confirm that these people have read or received the email. However, we can confirm that the email left our server without error and we did not receive any bounce back from the recipient.
  • Confirmed Message Read/View - We can confirm that these people have received and opened the email. It does this by tracking a hidden image that gets downloaded by the recipient when they open the email. But if the recipient has images turned off we cannot track them and then they would remain in the "Sent" category.
  • Clicked Through - When someone clicks a link inside the eblast, any link, our system automatically takes them out of the Confirmed Message Read category and puts them into this third category. So these people are still confirmed to have opened the email since they clicked a link.
  • Undeliverable - When an email bounces back to us and we know it was not delivered. This can be for any number of reasons including mailbox full, recipients mail server thinks the message is spam, mailbox no longer exists...etc
  • Permanently Undeliverable - When an email bounces 5 times in a row we put it on permanently undeliverable and do not even attempt to send to them anymore. Reason for this is email providers might consider us spam if we continue sending to an address that they are bouncing. If someone is on the list and you know the address is valid let me know, I have to remove it for you.
  • Invalid Address - This means the email address is not correctly formatted (i.e. missing @ symbol, missing .com/.net...etc)
  • Duplicate Address - The system automatically removes any duplicate addresses. It will send to the first instance of an email address. So if two members have the same email address on file whichever name comes first alphabetically will be sent to and the second one will not.
  • Opt Out - When a member clicks the unsubscribe link at the bottom of an eblast they are added to the opt out list. Once an email address is on the opt out list we no longer send them any eblasts. Members can opt back into the system on the member preferences page or an admin can opt them back in using the Opt Out Maintenance tool.

By Message Group:

The Message Group dropdown list will show all Message Groups you have created within MRM. You can then filter your statistics here to analyze emails sent to a specific group.

By Recipient Type:

Recipient Type allows you to target specific recipients of emails. Common Recipient types to filter by include Marketing Contact, Member Primary Email, and Mobile App Push Notifications

Viewing Email Statistics

After selecting the filters for viewing email statics, as explained above, click Search.  img

As you scroll down the page you will notice multiple pie charts starting with All Recipient Types. These pie charts show:

  • Attempted Deliveries - The Total Amount of Recipients Emails were sent to. Broken down into Confirmed Deliveries, Sent (Unread) Messages, Undeliverable Messages, and Not Yet Sent (Pending) Messages
  • Confirmed Deliveries - Dissects the Confirmed Deliveries statistics into Clicked Through & Confirmed Message Read/View
  • Delivery Not Attempted - This chart explains why email deliveries were not attempted including:
    • Opted Out - When a member clicks the unsubscribe link at the bottom of an eblast they are added to the opt out list. Filtering Charts by Recipient Type

The Filter by Recipient Type dropdown under the largest pie chart will update the charts above to use only the selected recipient type, instead of all recipient types. Select any of the options and watch as the charts above change.

Most Popular Read Times

This chart will help you identify which days/times are most popular to recipients to read the message. Plan for 30 minutes to 1 hour or so of delivery time before the recipient will actually read the message. This chart is not updated based on selected recipient filters. Times are relative to the club.

Unchecking a specific weekday will remove the corresponding weekday’s line from the chart.

Messages

Based on the Date Range you chose to filter by, all messages/emails sent within that range will display here. Click on the message subject to expand and view details of each message. Times are local to the club.
