Managing Communications

Communications allows you to manage different email communications templates. You can create, activate/deactivate, edit, and delete templates.
  
After logging into the admin site of tee times, hover over Tools in primary navigation and select Communications
At the very top of the page, use the Create Template button to create a new template. Beneath that is the area to manage existing templates. Click on the e button to edit a template. Click on the X button to delete a template. Click on deactivate or activate buttons to move one template between the Active Default Templates and Inactive Templates.
The Create Template page allows you to create a new email communications template. Add the name of template to Template Name field. Select the target audience for new template from the drop-down menu for Email For. Add the subject of the email to the Email Subject field. Use the editor to create the custom content of the email communication. Listed beneath the editor is a list of Special Tags that allow you to personalize the email. To use, copy (ctrl + C) and paste (ctrl +V) the tag, including brackets, into the editor window. These tokens connect to the member directory and will populate that member's info into the email when it is delivered to the member.

Here is what each special tag means:

  • Recip. Full Name will add the member's full name as listed in member directory.
  • Recipient Email will add the member's email address as listed in member directory.
  • Recip. First Name will add the member's first name as listed in member directory.
  • Recip. Last Name will add the member's last name as listed in member directory.
  • Booker Full Name will add the full name of person who booked the tee time.
  • Booker Email will add the email address of person who booked the tee time.
  • Booker First Name will add the first name of person who booked the tee time.
  • Booker Last Name will add the last name of person who booked the tee time.
  • Reservation Date will add the date of the reserved tee time.
  • Reservation Time will add the time of the reserved tee time.
  • Reservation Course will add the name of the course that the tee time was reserved on.
  • Reservation Hole will add the hole number the tee time was reserved for.
  • Reservation # Holes will add the number of holes the tee time was reserved for.
  • Reservation Players will add the names of the other players reserved with the tee time.
  • Reservation # Players will add the total number of players reserved with the tee time.
  • Reservation Special Requests will add any special requests requested by the players with the tee time.
  • Block Name will add the name of the block used on the tee sheet, if applicable.
  • Reservation Players Added will add the names of players who were added to the reserved tee time.
  • Reservation Players Removed will add the names of players who were removed from the reserved tee time.
  • Reservation Players All will add the names of all players reserved with the tee time.
  • Lottery Desired Time will add the member's desired time in lottery.
  • Lottery Earliest Time will add the earliest time of lottery.
  • Lottery Latest Time will add the latest time of lottery.
  • Lottery Time Received will add the member's time received in the lottery.
