Product Highlight - May 2019

This morning we updated your tee time system.  Please see below for a detailed document explaining the new features available from this update. 

The following items have been enhanced, modified, expanded upon, and are available in our lasted version of Tee Times.

What's New:

Admin Guests "Shop Guests"

This new feature allows the administrator to pin dummy users, to the quick select guest list on the booking screen, similar to General Guest.  These dumby guests however are only pinned to the administrator booking screen and not the member booking screen.  Another advantage of using these guests is that they don't have to count towards your guest category restrictions for quantity of rounds. 

To find this new feature navigate to:

  1. Accounts>Guest>Create New
  2. Give your dumby guest a name
  3. Define the Guest Category you want this guest to be (more than likely the same name as the category)
  4. Select Admin Guest - This pins that dumby guest to the admin booking screen only.
  5. Determine if you want this guest follow the guest category rules for quantity of rounds in regards to restrictions. 

Override Billing Items Per Block

Further enhancing current functionality, you now have the ability to override billing items per block but now can do it per category as well.  Therefore if you bill your social members a different amount for a member guest than you do your equity members, you can now set up your blocks to auto populate the correct billing item.

To find this new feature navigate to:

  1. Blocks>Create and Save Your Block>Edit Block>$ Pricing>Overwrite Default Pricing
  2. Select as many Member or Guest Categories as you want to override in Box 1.  Box 2 identifies who you have selected.  Choose New Billing Codes allows you to define the billing items which should be billed for those categories. 
  3. Notice the priority.  This is to assist in case you have accidentally doubled up a category the system will take the lowest priority first when assigning billing codes. 
  4. Save and notice the rule at the bottom of that section. 

Member Category Restrictions default to current season upon edit

Upon making edits to your season restrictions, the system will now place you into the current season the restrictions are based upon, if you have multiple created for that category.

  1. Accounts>Member Categories>Restrictions

Ability to export your Guest database

Just like exporting a list of your members database, you now have the ability to export a list of your guest database.

  1. Accounts>Guest>Export Roster

Starter Times can be set per course

If your club offers more than one golf course, upon creating a starter time, you have the ability to define the specific course.

  1. Starter Times>Create New

Alternate Button email token

Updated communications templates with a new mail token called Block Special Start Alt Text, {{SPECIAL_START_ALT_TEXT}}.

The text that is written in the Alt. Button Text field will be passed to the email confirmations via this new mail token.

Soft deleting of guests

Ability to deactivate Guests instead of deleting to preserve reporting. The process of deactivating a guest has not changed. To use this feature navigate to:

  1. Accounts>Guests>"X" button next to Guest Name

Specific blocks can be flagged to not count rounds toward restriction totals

A new restriction setting to specify whether rounds in blocks flagged as tournaments should count towards the rounds per week/day, etc totals found in category restrictions. To activate this setting, you must check off the This Block Is a Tournament on the Event/Lottery tab of block setup.

Misc Reporting Enhancements

9 Hole & 18 Hole play added to Rounds per Class (new) Report

18 Hole Rounds and 9 Hole Rounds columns added to Stats>Rounds per Class (New)

Please Note: This setting requires activation. Please contact your Client Services Manager if you want it turned on.

In the current setup, when a group is booked via the admin tee sheet without a member present in the group, a warning message displays (see below) on screen warning no member is present.

We've created a new setting that allows the club to turn off the warning message when booking a tee time without a member.

*Option - On Member Booking Screen to clear the booking name after adding player

Please Note: This setting requires activation. Please contact your Client Services Manager if you want it turned on.

On the member booking screen if you search a name and then add to the group, the name will auto remove so you can type another name, without deleting.

*Option - Adding restricted members to groups provides warning message

Please Note: This setting requires activation. Please contact your Client Services Manager if you want it turned on.

In the current set up, when a member or guest who is restricted from making a tee time, the Reservation Notice that explains why is displayed on-screen when the admin clicks on the Submit Reservation button. 

We've created a new setting that allows the club to have the Reservation Notice pop up on screen when a restricted player is chosen by clicking on the Add Player button next to member's name in the Search For Players field, rather than when reservation is submitted.

*Option - Admin In Use Indicator

Please Note: This setting requires activation. Please contact your Client Services Manager if you want it turned on. 

On the admin tee sheet, if another admin user or a member is actively booking a time, the tee sheet will shade that time yellow.  This will help your administrators identify free times to be booked.
